Administrative Assistant 1

The Administrative Assistant 1 will report directly to the Associate Commissioner for State Operations to provide appropriate confidential secretarial support. This position is a key liaison to the OPWDD Commissioner's office. In addition to the Associate Commissioner, this position provides support to the State Operations Director of State Operated Programs and Services, Director of SO Planning and Quality Improvement, and Director of SO Clinical Services and the Medicaid Compliance Unit. All functions contribute directly to the core mission of the agency and many functions contribute to health and safety. They are responsible for organizing and coordinating the administrative activities in the office, review incoming/outgoing mail and draft responses to letters from various sources such as Mental Hygiene Legal Services and Department of Health, organize data reports, correspond with senior leadership across the agency and in other agencies. The Administrative Assistant 1also does research for documents, memos, guidelines and regulations as needed. This communication role extends to the Board of Visitors, family members, individuals, and outside agencies. The incumbent must exercise independent and responsible judgment and decision-making when fulfilling the tasks associated with this job role. The incumbent performs a critical communication role in interfacing on behalf of the Associate Commissioner within the Division of State Operations with over 14,000 employees, 6 Regions and the respective Directors and offices. Specific duties include but are not limited to the following:
o Email monitoring o Calendar maintenance o Prepare agendas and materials for meetings o Order office supplies o Travel arrangements and reporting o Maintain confidential documents, information and files in both electronic and paper formats o Review incoming correspondence and reports and make recommendations to manager or refer to appropriate person for response o Compile reports and synthesize documents of a technical nature o Answer incoming calls, respond to questions or refer calls to the appropriate staff member for technical information o Communicate effectively with Division staff and set priorities for tasks assigned by multiple staff o Communicate effectively with Division staff and set priorities for tasks assigned by multiple staff o Coordinate information flow between the Deputy Commissioner and unit managers o Provide clerical and administrative support to unit managers as needed o Other duties as assigned Telecommuting to be discussed #LI-LT1

Salary Range:
From $44957 to $55093 Annually
Minimum Qualification
Candidates must be reachable for appointment on the current Civil Service Eligible List for this title. OR Candidates must have one year of permanent service in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 or 70.4 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
